As an HR Operations Associate, you will ensure the timely and accurate delivery of HR operational services in Luxembourg by overseeing centralized execution, completing local HR activities, and acting as a subject matter expert (SME) on complex cases. Monitor and advise on operating model changes driven by regulatory and legal developments, and execute a range of HR operational activities.
Job responsibilities
- Partner with centralized HR functions to ensure accurate, on-time completion of all Luxembourg country deliverables.
- Support recruitment and onboarding administration, including employment contract and addendum preparation, Right to Work checks, and Day 1 employee induction.
- Monitor and manage employee queries via the HR Answers tool and HR mailboxes, coordinating resolutions and escalating issues as needed; support a broad range of queries from HR partner teams and employees.
- Manage documentation for local HR activities and coordinate records management; ensure the firm’s requirements are applied to the creation, storage, retention, and destruction of JPMorgan records, following correct filing protocols for both paper and electronic documentation.
- Provide support for risk and control oversight, complete required regulatory reporting, assist with audit preparation and actively participate in internal and external audits, provide Luxembourg and regional legal/regulatory expertise and oversight for HR activities, and ensure local compliance with global data privacy requirements.
- Maintain detailed Standard Operating Procedures (SOPs) for all workstreams.
- Contribute to HR projects and new work items as required.
Required qualifications, capabilities and skills
- Generic HR experience, ideally in an international environment.
- Strong ability to prioritize and meet deadlines in a target-driven environment.
- Experience planning and executing projects of varying size/complexity across areas such as recruitment, onboarding, offboarding, payroll, reward, recognition, and regulatory/legal change.
- High level of self-organization and ability to manage multiple tasks simultaneously.
- Rigorous, proactive, autonomous; strong interpersonal and communication skills.
- Ability to build strong partnerships across the firm and with external partners.
- Good working knowledge of Luxembourg labour laws, regulations, and market practice.
- Fluent in English.
- Excellent Microsoft Office skills (especially Excel and PowerPoint).
Preferred qualifications, capabilities and skills
French language is an asset.
