About the Role
We are seeking a highly organized, proactive, and hands-on Site Manager to oversee the daily operations of our office and ensure a secure, efficient, and productive workplace. This role is responsible for coordinating on-site IT support, facilities operations, workplace security, equipment management, and general administrative functions. The ideal candidate thrives in fast-paced environments, enjoys solving problems, and takes pride in creating an exceptional employee and contractor experience.
This is a temporary, contract position and requires on-site presence in Seattle or Boston.
This is a highly visible role that requires excellent communication, sound judgment, and the ability to manage multiple priorities while maintaining strict security and confidentiality standards.
Responsibilities
Site Operations & Facilities
- Manage the day-to-day operation of the office and serve as the primary on-site point of contact.
- Coordinate with building management, vendors, and service providers for maintenance, repairs, cleaning, and facility improvements.
- Ensure conference rooms, shared spaces, kitchens, and work areas are fully stocked, organized, and operational.
- Monitor workplace safety and ensure compliance with company policies and building requirements.
- Coordinate office moves, workstation setup, and space planning as needed.
On-Site IT Support
- Provide first-line technical support for employees and contractors.
- Troubleshoot basic hardware, software, networking, and connectivity issues.
- Coordinate escalations with remote IT teams or third-party vendors.
- Manage user onboarding and offboarding from an equipment and workspace perspective.
- Maintain accurate inventory of IT assets and accessories.
Security & Access Management
- Manage visitor check-in procedures and maintain visitor logs.
- Issue, collect, and track employee and contractor badges.
- Ensure appropriate access controls are followed for all personnel.
- Conduct security screening procedures, including use of a handheld metal detection wand when required.
- Secure and monitor personal belongings during designated projects or secure work sessions.
- Maintain secure storage areas for personal devices and belongings.
- Ensure compliance with company security protocols and confidentiality requirements.
- Report security incidents and partner with leadership on incident response.
Equipment & Asset Management
- Maintain inventory of laptops, monitors, peripherals, badges, keys, and other company assets.
- Track equipment assignments and returns.
- Coordinate equipment procurement and replacements.
- Perform routine audits to ensure inventory accuracy.
- Prepare equipment for new hires and project launches.
- Coordinate shipping and receiving of company equipment.
Administrative Operations
- Support contractor and employee onboarding logistics.
- Coordinate workspace assignments and office access.
- Maintain office supplies and vendor relationships.
- Support special projects and cross-functional operational initiatives.
Qualifications
- 3+ years of experience in office management, workplace operations, facilities management, or site operations.
- Experience supporting workplace technology and basic IT troubleshooting.
- Strong organizational and project management skills.
- Excellent communication and customer service skills.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Comfortable handling confidential information with discretion.
- Experience with asset management or inventory tracking systems.
- Proficiency with Google Workspace and common workplace software.
Preferred Qualifications
- Experience supporting secure or regulated work environments.
- Familiarity with physical security procedures and access control systems.
- Experience with badge management or visitor management platforms.
- Knowledge of IT asset management best practices.
- CPR/First Aid certification or willingness to obtain certification.
Physical Requirements
- Ability to lift and move equipment weighing up to 40 pounds.
- Ability to stand, walk, and move throughout the office for extended periods.
- Comfortable performing equipment setup and workspace preparation.
