What You Will Do
onX is seeking an Executive Assistant with a passion for enabling leaders and building operational clarity in fast-moving environments. In this role, you will provide comprehensive administrative and operational support to the Chief Technology Officer (CTO), Chief Product Officer (CPO), and Vice President of People & Culture. You’ll be a part of a collaborative, distributed team focused on empowering every adventurer to go further with confidence.
This role serves as a key coordination hub across Engineering, Product, and People & Culture. Your work will enable leaders to focus on the highest-value work by proactively managing calendars, driving smooth execution of key initiatives, and supporting core operating rhythms. This role reports directly to the CTO with dotted line partnership to the CPO and VP of People & Culture.

This position is based in Bozeman, Montana and requires in-person presence a minimum of three days per week. Candidates must reside in the Bozeman area or be willing to relocate, as proximity to the office is essential to effectively support executive leadership.
How You’ll Be Compensated
onX is committed to compensating all employees fairly and equitably for their contributions. For this position, applicants can expect to make between $80,000 to $95,000 upon hire. The pay range will vary based on experience, skills, certifications, and education among other factors as required in the job description. In addition, full-time onX employees are eligible for a grant of common share options with a vesting schedule and a potential annual bonus of 10% based on company performance.

As an onX Executive Assistant, your essential job duties and responsibilities will look like:
- Manage complex calendars for three executives, prioritizing time and proactively resolving conflicts
- Coordinate scheduling across Engineering, Product, and People & Culture stakeholders
- Ensure key operational dates, deadlines, and deliverables are reflected on executive calendars
- Track outstanding administrative commitments and follow through to completion
- Collaborates with peers through day-to-day coordination, active participation, and shared work, building effective working relationships across teams to support leaders and shared outcomes
- Support critical business operationprocesses by scheduling meetings, sending reminders, tracking deliverables, and capturing notes
- Design and maintain simple systems that support accountability across leadership teams
- Track and follow up on high-priority initiatives and cross-functional commitments
- Coordinate company-wide, cross-team, and leadership meetings
- Create agendas, assemble decks, summarize decisions, and distribute action items
- Support Board preparation by creating document skeletons, coordinating inputs, and posting finalized materials
- Coordinate executive travel, including flights, lodging, ground transportation, and itineraries
- Plan and manage People & Culture off-sites, including logistics, communications, and on-site coordination
- Supports project management for select initiatives by coordinating tasks, tracking progress, and delivering assigned work on time for initiatives led by executive leaders.
- Facilitate communication across teams and ensure timelines and milestones stay on track
- Minimum of three (3) years of experience supporting senior leaders in an executive assistant or similar role, with at least part of that experience gained within a technology or software company
- Bachelor’s degree or equivalent professional experience
- Demonstrates strong organizational skills by managing assigned priorities, communicating progress, and balancing work across stakeholders within clearly defined expectations.
- Demonstrates sound judgment and discretion in day to day work, proactively identifying issues and seeking guidance when needed.

- Permanent US work authorization is a condition of employment with onX.
- Ability to travel quarterly for multiple days to a corporate office or other onX strategic location, such as a Basecamp
